Description of the Role: Collage Architects is looking for an Office Manager to take the lead in maintaining the office operations and supporting a fun, flexible, and collaborative company culture. The office manager is tasked with responsibility for all things people and facilities related; including on-boarding, benefits management and communication, licenses, coordination with third-party vendors, and more. We’re looking for someone with passion for guiding employee culture, skills in developing and maintaining effective systems, and experience and enthusiasm to make it happen.

Collage Architects is a collection of individuals who possess varying skills and experience but are tied together by a passion for designing quality buildings. This role will support the continued development of these individuals and enhance the Collage team and is an opportunity to work in the exciting field of design and architecture. The role will be on-site in Northeast Minneapolis, with some flexibility for Work From Home, per office policy.

Areas of Responsibility:
Office Management
– Office facilities management, including maintaining office supply inventory, effectively managing relationships with vendors and professional services providers, and coordinating office maintenance and security.
– Maintain a friendly and professional office environment by welcoming visitors and stocking hospitality supplies.
– Basic IT troubleshooting and escalation and follow-through with IT consultant.
– Take charge of scheduling office events, outings, and professional development opportunities.
– Coordinate business license and insurance policy renewals, and other tasks required for business operations.
– Prepare, review, and distribute project contracts in coordination with Principals; coordinate and facilitate signing of project contracts and subcontracts.

Human Resources
– Collect and process timesheets on a semi-monthly basis.
– Maintain the Employee Handbook for state/federal compliance and applicable company policies.
– Manage the Open Enrollment process for insurance and benefits.
– Coordinate 401k plan enrollment and communications.
– Lead the recruiting process to bring in talented and qualified staff. This includes creating and managing job postings, resume review, candidate screening, and interview coordination.
– Manage the employee lifecycle, including onboarding, staff evaluations, and offboarding.

Skills and Qualifications for Success
– Minimum of three years’ experience in office management and executive support. – Progressive experience with staff recruitment, HR policies, benefits administration, and employee support.
– Proficiency with the Microsoft Office Suite
– Exceptional interpersonal, written, and verbal communication skills; ability to communicate with company ownership, colleagues, clients, and vendors in a professional and effective manner.
– Proven ability to work with sensitive material in an open, collaborative environment.
– Capable of working autonomously.
– Ability to work with and respond to multiple people’s needs and to prioritize and delegate accordingly.
– Approachable, assertive, and service-oriented traits will contribute to your success in this role.

This position has some flexibility to be full or part time. Pay rate will be discussed based on the candidate’s desired work schedule. Pay Range: $20.00 to $28.00 per hour for part time or $40,000-58,000 per year for full time, depending on experience.
